    The University of Central Oklahoma Development Office is an umbrella organization comprising both the UCO Foundation and the UCO Alumni Association. The UCO Foundation is an independent non-profit organization designed to raise funds to support the University of Central Oklahoma and its students. The UCO Alumni Association fosters relationships among alumni and friends, while advocating for the benefit of the university, supporting students and creating Bronchos for life.

    Position Overview

    Coordinate the logistics of events such as conferences, seminars, special promotions, programs, camps, and/or direct mail campaigns. Organize events and programs from the conception to clean-up; to include scheduling staff, catering, contracts, venue and layout. Plan and administer events following budget guidelines and requests. Assist in evaluating the program and give information to leadership.

    Department Specific Essential Job Functions

    We are seeking a friendly and knowledgeable individual to join the team as an Events Coordinator. The Events Coordinator is responsible for the successful coordination of alumni and foundation events and activities from large community events to small in-office occasions.  Position will be responsible for coordinating and fully implementing a range of events including, but not limited to, conferences, large luncheons, alumni and office celebrations and board meetings.

    Works within budgets to ensure all events are professional and appropriate. Works with guests to ensure all requests are met. Responsible for set-up of event: booths, flowers, table decorations, catering and other event décor. Coordinates event catering, including menu planning and ordering food. Creates and contributes to an environment that is geared to innovation, high productivity, high quality and guest service. Act as a resource to department managers and staff on matters pertaining to improving efficiency and event experiences. Maintains excellent relationships with conference and event catering and staff on campus. Facilitates coordination and communication between events and event sponsors. Able to quickly learn and work with internal event registration and electronic communication system to effectively publicize events. Creates follow-up reports on each event to assess impact of event and return on investment. Utilizes electronic communication for impactful event advertising including updating a reservation and invitation system as well as extensive utilization of social media.

    Qualifications/Experience Required

    Requires a university degree in related field or 4+ years of equivalent work experience in chosen filed that provides knowledge of and exposure to fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results.

    Qualifications/Experience Preferred

    2-5 years of experience in event planning and catering is strongly preferred. Must be able to deliver excellent guest service. Strong leadership capabilities and interpersonal skills required. Exceptional communicator with verbal and written skills. Highly developed organization skills. Able to operate independently. Must be diligent and quality-driven in regards to cleanliness and safety. Event coordinator needs to remain calm during crisis and the high pressure of an event in progress. Energetic, self-motivated and detail-oriented. Demonstrated trustworthiness and integrity in daily activities. Computer proficiency with Microsoft Office Suite and able to quickly learn new technology for event integration. 


    Ability to effectively determine which facilities best suit the needs for the event and presenting the facility on a regular basis to our customer. Must have excellent and friendly communication skills. Must be flexible during events to potentially work after regular hours and/or on weekends. Attention to detail and the ability to follow a set system of policies and procedures. Proven job skills in a detail-oriented position. Proven abilities in the coordination and scheduling of events and related functions. Must possess excellent customer relation skills, as this position requires coordination with on- and off-campus clients in the planning of events.
