Provide secretarial and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget; managing calendars and appointments; event and meeting planning.
Provides front desk reception, opens office each morning, greets office visitors. Maintains office filing systems (paper and electronic). Complies with university requirements to initiate purchase orders and PCard transactions to complete supply orders. Assists in budget reconciliation. Maintains inventory control list. Files and maintains appropriate recordkeeping for all purchasing, travel, and payroll functions. Services as office timekeeper.
Responsible for managing the logistics of all activities and events, to include: large scale receptions, community partner events, project workshops, student organization activities. Manages activities and events calendar for six projects and approximately 1,000 students. Coordinates with vendors and departments to procure items necessary to host events. Works closely with UCO Conference & Events to secure rooms, place food orders, and ensure that all detailed requests are fulfilled. Performs other duties as assigned.
Requires general education or vocational training and 3+ years relevant experience in chosen field or equivalent combination of education and experience.
Working knowledge of Banner system for procurement and payroll. Ability to obtain a PCard. Ability to work with diverse populations. Highly organized, friendly and engaging. Ability to multitask. Effective communication skills.
